1. Data Controller

2. Purpose of Processing

We process personal data for the following purposes:

  • Managing and conducting recruitment processes
  • Assessing candidates’ suitability for open positions
  • Communicating with applicants
  • Making hiring decisions
  • Maintaining a talent pool for future recruitment opportunities (where applicable)
  • Complying with legal obligations

3. Legal Basis for Processing

The legal basis for processing is:

  • Taking steps prior to entering into an employment contract at the request of the applicant (Article 6(1)(b) GDPR)
  • Legitimate interest in carrying out recruitment processes and evaluating candidates (Article 6(1)(f) GDPR)
  • Compliance with legal obligations (Article 6(1)(c) GDPR), where applicable

If we wish to retain your application for future recruitment opportunities beyond the specific process, we will request your consent (Article 6(1)(a) GDPR).


4. Categories of Personal Data Processed

We may process:

  • Name and contact details
  • CV, cover letter, portfolio and other application materials
  • Employment and education history
  • Information provided during interviews
  • References (where applicable)
  • Internal evaluation notes created during the recruitment process
  • Any other information voluntarily provided by the applicant

We do not intentionally collect special categories of personal data unless required by law or voluntarily provided.


5. Sources of Personal Data

Personal data is primarily collected:

  • Directly from the applicant
  • From referees named by the applicant
  • From publicly available professional sources (e.g. LinkedIn), where relevant

6. Data Processors and Recipients

Personal data is processed internally by HR personnel and hiring managers involved in the recruitment process.

We use an internal HR system provided by Hailey HR AB as our recruitment and applicant tracking system. Hailey HR processes personal data on our behalf as a data processor in accordance with applicable data protection legislation and a data processing agreement.

Personal data is not disclosed to external parties except where required by law.


7. International Data Transfers

As a rule, personal data is processed within the EU/EEA.

If personal data is transferred outside the EU/EEA, appropriate safeguards (such as Standard Contractual Clauses) will be implemented.


8. Retention Period

Personal data is retained:

  • For the duration of the recruitment process; and
  • For up to 12 months after the recruitment decision, in order to defend against potential legal claims and to consider candidates for future roles.

If separate consent is obtained for inclusion in a talent pool, data will be retained in accordance with the consent provided.


9. Data Subject Rights

Under applicable data protection legislation, you have the right to:

  • Access your personal data
  • Request rectification
  • Request erasure
  • Restrict processing
  • Object to processing based on legitimate interest
  • Lodge a complaint with a supervisory authority

In Finland, the supervisory authority is the Office of the Data Protection Ombudsman.

Providing personal data is necessary to participate in the recruitment process.

If required data is not provided, we may not be able to assess your application.
